Felicity : Knapp Studio – Workshop Terms and Conditions

By booking a place on any Felicity Knapp Studio workshop, course, or retreat, you agree to the following Terms and Conditions.

Please read them carefully before making your booking.

1. General Information

Workshops and retreats are organised and led by Felicity Knapp Studio, based in Colwall, Herefordshire.

2. Booking and Payment

  • Your booking is confirmed once full payment (or deposit, where stated) has been received and you receive a confirmation email from us.

  • Payment can be made online via our secure booking system or by bank transfer where arranged.

  • Spaces are limited and allocated on a first-come, first-served basis..

  • If you book online, you have the right to cancel within 14 days of booking for a full refund unless the workshop takes place during that period and you have expressly agreed that the service may begin before the cooling-off period ends. If the workshop has been fully delivered within the cooling-off period with your agreement, your cancellation rights may be affected.

3. Cancellations and Refunds

If you need to cancel:

We understand that plans can change.

  • Workshops:

    • Cancellations made 14 days or more before the workshop will receive a full refund, minus a £10 administration fee.

    • If you cancel less than 14 days before the workshop, we are unlikely to be able to refill your place. Where this is the case, no refund will normally be available. However, if we are able to fill your place, we will refund your payment less a £10 administration fee..

    • You may transfer your booking to another person at no extra cost—just let us know their details in advance.

  • Retreats:
    The cancellation policy in these Terms and Conditions applies to workshops only. Retreat bookings are subject to separate Retreat Terms and Conditions, including cancellation and payment terms, which are set out on the relevant Retreat webpage. By making a retreat booking, you agree to those terms.

If we need to cancel:

  • In the unlikely event that we have to cancel due to illness, low enrolment, or unforeseen circumstances, you will receive a full refund or the option to transfer to another date. (but see also item 11 Force Majure)

  • We are not responsible for any travel, accommodation, or other costs incurred as a result of cancellation.

4. Workshop and Retreat Changes

We reserve the right to make small changes to tutors, content, or venue if necessary, while ensuring the overall quality and purpose remain the same.

If significant changes are required, we will notify you as soon as possible by email or WhatsApp and offer an alternative or refund.

5. Communication and Changes

Important workshop updates, cancellations, or changes will be communicated via email. It is the attendee’s responsibility to monitor their email for notices.

6. Workshop Content Intellectual Property

All course materials, demonstrations, teaching content and art work are the intellectual property of Felicity Knapp Studio.

They are for your personal use and inspiration only and may not be copied, distributed, or used commercially without written permission or a license.

You retain the rights to any artwork you create during the workshop or retreat.

7. Health, Safety, and Accessibility

  • Please let us know in advance if you have any allergies, health conditions, or accessibility needs.

  • Some activities involve art materials that may stain clothing; please dress appropriately.

  • You participate in all activities at your own risk and agree to follow safety guidance during sessions.

  • Felicity Knapp Studio accepts no liability for injury, loss, or damage to personal property, except where caused by our negligence.

8. Materials and Personal Belongings

  • All basic materials and equipment will be provided unless otherwise stated.

  • You are welcome to bring your own additional materials if you wish. (no oil paint please)

  • Personal items brought to workshops or retreats are your responsibility.

9. Photography and Promotional Use

We sometimes take photographs during workshops and retreats for use on our website, newsletters, and social media.

If you prefer not to appear in these images, please let us know when you arrive.

We always respect your privacy and will not tag or identify individuals without permission.

Participants are welcome to photograph their own work but should seek permission before photographing other attendees or their work.

10. Liability

Felicity Knapp Studio is not liable for:

  • Loss or damage to personal property,

  • Personal injury (unless caused by our negligence), or

  • Travel or accommodation costs arising from workshop or retreat cancellation.

Participation is at your own discretion and responsibility.

11. Data Protection and Privacy

Your personal information will be used only for managing your booking and communicating relevant updates.

Personal information will be processed in accordance with UK GDPR and the Data Protection Act 2018. Please see our Privacy Policy for full details. [see link in footer].

12. Force Majeure

Felicity Knapp Studio will not be liable for failure to deliver workshops or retreats due to events beyond our reasonable control, such as extreme weather, illness, or public health restrictions.

We will aim to reschedule where possible. If this is not possible, customers may choose either a transfer, a credit voucher or a refund.

13. Attendance and Weather-Related Travel

  • If the venue is open and accessible, and the workshop runs, but you cannot attend, no refund will be issued.

  • Attendees are responsible for their travel arrangements and costs.

14. Venue Inaccessibility Due to Weather

  • If the venue becomes inaccessible due to snow, severe weather, or other force majeure events, the organizer may cancel or reschedule the workshop.

  • Attendees may transfer to a similar workshop or receive credit.

  • Organizer is not liable for travel, accommodation, or other costs incurred.

15. Governing Law

These terms are governed by the laws of England and Wales.

Any disputes shall be subject to the exclusive jurisdiction of the English courts.

16. Attendee Conduct

  • Attendees must comply with workshop rules and venue policies.

  • Organizers reserve the right to remove attendees for inappropriate behaviour without refund.
